Both a secretary and an office coordinator provide support to other members of the office staff. A secretary is primarily responsible for the support of one executive or department. Secretaries are usually assigned to one or two executives with the responsibilities of handling correspondence, answering telephones, filing and managing the calendar of her principle boss. An office coordinator provides support to the entire office staff. Examples of the tasks of an office coordinator include maintaining office equipment, light IT troubleshooting and placing office supply orders.

Scope of Responsibilities

The tasks of an office coordinator and a secretary both revolve around organization. While a secretary is responsible for the organization of her personal work area and that of her boss, an office coordinator is expected to design and manage the workflow of the entire office to encourage productivity of administrative staff. An office coordinator organizes everything, from filing systems and supplies to meetings and travel for office personnel. A secretary keeps her executive informed of all meetings, responsibilities and appearances that the executive must attend. She also assists the executive with maintaining an efficient, clean personal office space.

Amount of Bookkeeping Required

A large difference between a secretary and an office coordinator is in the bookkeeping required by each position. Primarily, a secretary is responsible for managing the business expenditures of her executive, which are turned in to the accounting department at the end of each month. An office coordinator assists the accounting department with monthly reconciliations, keeps track of all office expenditures and maintain monthly rents and service contracts for the office. Another bookkeeping responsibility of an office coordinator would be to reconcile any corporate credit card statements monthly and appropriately record the expenditures in the company's accounting software. According to the Bureau of Labor Statistics (BLS), first-line supervisors of office and administrative support workers, such as office coordinators and managers, earn an average annual salary of $60,130, as of May 2019. Office secretaries and administrative assistants earn an average salary of $39,180, as reported by BLS. However, a secretary salary may equal or even exceed an office manager or administrative coordinator salary if she directly assists a company owner or high-level executive. The BLS reported an average salary for executive secretaries of $62,920 as of May 2019. Office coordinator and secretary salaries can vary by geographic location. For example, an office coordinator salary in New York City averages $47,625 per year, according to Pay Scale self-reported salary data in 2020.
